Requirements

Education:

High School Diploma; some college preferred

Experience/Skills:

  • At least two years experience in general office responsibilities and procedures.
  • Must be computer literate.
  • Knowledge of principles and practices of basis office management and organization.
  • Knowledge of the basic principles and practices of bookkeeping.
  • Ability to work well either alone or as part of a team.
  • Must be flexible with work hours, willing to work some evenings and weekends for special events.


Preferred Skills:

  • Experience scheduling meetings and cultural events.
  • Experience working in a university or higher education setting, preferably in a multicultural setting.

Knowledge, Skills and Abilities:

  •  Must be computer literate.
  • Must be able to multi-task.
  • Must have knowledge and experience with Mircosoft Word, Excel, Power Point, and e-mail.
  • Good writing and problem-solving skills.
  • Knowledge of principles and practices of organization, planning, records management, and general administration.
  • Ability to communicate effectively with diverse populations.
  • Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers, and fax machines.
  • Ability to follow oral and written instructions.

Job Summary:

The Administrative Assistant for the Office of Multicultural Programs will perform all aspect of general office coordination and provide administrative function support for the Director of Multicultural Programs.

  • Provide clerical and administrative assistance and support for the Office of Multicultural Programs.
  • Provide information to visitors, callers, student organizations, faculty, staff, administrators, and other clients about programs, services, and/or events.
  • Set up and maintain filing system for various programs, committees, events, scholarships, applications, evaluations, and correspondence.
  • Conduct research, compile data, and prepare papers for consideration and presentation.
  • Coordinate conferences, meetings, and travel arrangements.
  • Maintain inventory of office equipment and supplies.
  • Monitor budget , develop internal bookkeeping procedures.
  • Attend meetings in order to record minutes.
  • Compose, type, and distribute meeting notes, routine correspondence, and reports.
  • Greet visitors and callers, handle their inquires.
  • Mail newsletters, promotional materials, brochures and other information.
  • Maintain scheduling and event calendars.
  • Update, revise, and/or develop brochures, manuals, flyers, and posters.
  • Develop, update, and/or maintain OMP web site.
  • Operate electronic mail systems and coordinate the flow of information both internally and with other organizations.
  • Supervise student staff, and provide office training and orientation to new staff.
  • Provide clerical and administrative support in the coordination and planning of cultural events, symposiums festivals, and other activities/events.
  • Other duties as assigned.
