Job Description - Desk Area Coordinator

Job Summary:

The Desk Area Coordinator is responsible for all organization and management of resources at both the Harre Union Welcome desk and Games Area. The manager works closely with the Student Employee Manager to provide all necessary supplies, information, and continued training necessary for Desk Attendants and Building Managers who operate these desks on a daily basis. This person is responsible for maintaining an adequate inventory of goods, ensuring quality customer service, and providing up to date information about campus and Union events. Additionally, the manager needs to have a basic understanding of game room policies and procedures and assist with equipment maintenance as necessary. Lastly, manager may utilize basic event planning and marketing skills to plan monthly programming for the Games Area.

The Manger will serve as a member of the Leadership Team, assisting with large-scale planning for staff hiring, selection, training and continued development. Additionally, this manager must hold regular office hours and meet with the Leadership Team on a regular basis, in addition to working weekly shifts at both desks.

Learning Outcomes:

As a result of serving as the Desk Area Coordinator, students will be able to:

  • Describe the Role of the College Union in relation to the Harre Union Mission statement and the importance of student employees in relation to building management.
  • Execute quality customer service skills when working with a variety of customers and collaborating with a number of on and off-campus offices. Communicate messages through a variety of written and verbal formats to a variety of staff and campus constituents.
  • Manage and organize equipment and inventory.
  • Utilize various technologies and computer software programs in regards to building management, event programming, and staff resources.
  • Manage overall cash usage and handling procedures.
  • Apply knowledge of event programming and marketing to create and execute a programming calendar.
  • Conduct and evaluate a wide-range of programs and staff trainings. Understand thoroughly the day-to-day operations of the 202,000 square foot Union, including physical facility’s needs, as well as staff resources and roles.

Supervision:

This position reports directly to the Assistant Director of the Harre Union.

Hours:

Approximately 10-15 hours per week. Minimum of 6 office hours a week plus miscellaneous project time and possible coverage of various staff shifts.

Qualifications:

  1. The coordinator must hold and maintain a minimum of a 2.75 cumulative GPA

  2. The coordinator must hold at least a sophomore class standing at Valparaiso University

  1. The coordinator must have a minimum of one academic year (two semesters) of experience working as member of the Harre Union student staff in any position, and must have received strong, positive evaluations by the Assistant Director during his or her time in that position.

  2. Must be in good standing with the University.

  3. Punctual, dependable, professional and adaptable.

  4. Displays quality attention to detail and ability to prioritize and multi-task.

  5. Ability to work independently with little supervision, as well as part of a team

    with other Union staff

  6. Effective communication skills, both written and verbal.

  7. Willingness to work and learn.

  8. Thorough understanding of the functioning basics behind the operations of the Harre Union, specifically the Welcome Desk, Games Area, and event management and operations.

  9. CPR and First Aid Certified (Training Provided)

  10. The coordinator must have the ability to work weekdays, evenings and weekends

Responsibilities:

Welcome Desk Management and Resources

  • Keep the Welcome Desk clean and organized for an ideal and positive image
  • Create and keep up-to-date Welcome Desk signage.
  • Management of Welcome Desk inventory and resources, including maps, ticket supplies, etc. Marketing of Welcome Desk services to promote what is offered for customers.
  • Manage the digital display screen systems.
  • Manage ticket sales and events.
  • Assist with management and organization of the student event calendar.
  • Organization and regularly update all Welcome Desk resources including the resource binder and wiki.

Games Area Management and Resources

  • Organize the Games Area in a clean and orderly fashion with emphasis on the visibility of products to our customers. Create signage as necessary.
  • Order merchandise and supplies and maintain an adequate inventory of all goods.
  • Repair Games Area equipment as needed.
  • Manage Games Area Resources for customers, desk attendants, and other Union staff. Assist in the development and enforcement of Games Area and Union policies and procedures.
  • Assist with the coordination of marketing and promotions for the Games Area and its services.
  • Manage and implement all Lost and Found procedures.
  • Track Revenue and oversee all management of rental equipment program.
  • Create programming calendar and execute planning and marketing of monthly events.

Other

  • Attend and communicate information at regularly scheduled staff meetings to provide the best and most up-to-date information and services to staff and customers.
  • Read the log to keep updated on information and questions that desk attendants may have questions about.
  • Work with the Assistant Director to manage the large scale Informational Resources, such as the union Wiki.
  • Hold scheduled weekly office hours, accumulating to at least six hours total per week.
  • Meet weekly with the Assistant Director and Harre Union Leadership Team.
  • Cover Building Manager, Event Services, and Desk Attendant shifts as needed/necessary. The manager must be cross trained as a Building Manager, Event Services, and Welcome Desk/ Games Area Desk Attendant (Training provided).
